Terms of Service

Last updated: October 12, 2026

These terms apply to your use of the HealthCache website and the HealthCache service, including the iPad app, provided by HealthCache Corporation (“HealthCache”, “we”). By creating an account or using the service on behalf of an organization, you agree to these terms for that organization (the “customer”).

1. The service

HealthCache is software that helps group home operators manage referrals, admissions, daily care, compliance, treatment, billing and discharge. Features available to you depend on your plan. We may improve or change features over time.

2. Accounts

  • Each user needs their own account. Keep sign-in details private and don’t share accounts.
  • The customer decides who is invited and what role and homes they can access, and is responsible for their activity.
  • Tell us promptly if you suspect unauthorized access.

3. Plans, fees and billing

  • Fees are a base package fee plus a per-bed fee for active beds, and a one-time setup fee, as shown on the Plans page at the time you subscribe.
  • Subscriptions renew each billing period and are charged through Stripe to the payment method on file.
  • Fees are non-refundable except where required by law or agreed in writing.
  • We will give notice before changing the price of an existing subscription.

4. Your data and health information

The customer owns the records it enters. We process resident information only to provide the service, as described in our Privacy Policy and, where HIPAA applies, a Business Associate Agreement. You are responsible for having the right to enter the information you put into HealthCache.

5. Clinical and billing responsibility

HealthCache is a documentation and workflow tool. It does not provide medical, legal or billing advice. Allergy checks, reminders and reports support — but do not replace — the professional judgment of your staff. You are responsible for care decisions and for the accuracy of claims you submit to payers.

6. Acceptable use

Don’t misuse the service — for example by trying to access other organizations’ data, interfering with its operation, reverse engineering it, or using it for unlawful purposes.

7. Cancellation

You may cancel at any time by contacting us; service continues until the end of the paid period. We may suspend or end access for non-payment or serious breach of these terms. Before access ends, you may request an export of your records.

8. Availability and warranties

We work to keep HealthCache available and reliable, but the service is provided “as is” and we do not promise it will be uninterrupted or error-free.

9. Limitation of liability

To the extent permitted by law, HealthCache is not liable for indirect or consequential losses, and our total liability is limited to the fees the customer paid us in the twelve months before the claim.

10. Changes and contact

We may update these terms and will change the “Last updated” date when we do; significant changes will be notified to customers. Questions? Reach us through chat on the Contact page.
